Privacy Policy

NexaPOS is a point-of-sale app built for small shops. This page explains what information the app and this website collect, why, and what stays entirely on your own device. If anything here is unclear, message us on WhatsApp using the link at the bottom of this page.
The short version
NexaPOS is built local-first: your products, sales, stock, and staff accounts live on your own device and sync only between your own shop's devices. We don't run ads, we don't use third-party analytics or advertising trackers, and we don't sell data to anyone. The only outside party involved in handling money is our payment processor, for the payments you choose to accept.
Information the app collects
What's collected depends on how you use NexaPOS:
- Your shop's business data. Products, prices, stock levels, sales, expenses, and reports you create in the app. This is your data - it's stored on your device and synced across your own shop's devices (e.g. the counter PC and a phone) so everyone sees the same numbers. We don't access or use it beyond making that sync work.
- Staff accounts you create. Usernames and roles for the people you add to run the till. Passwords are stored as one-way hashes, never as plain text, and are part of your own shop's synced data - not visible to us.
- Your customers' details, if you choose to enter them. A customer's name and phone number are optional fields at checkout, useful for receipts or follow-up. Whether to collect this from your customers, and how you use it afterward, is your decision as the shop - the same as any till receipt.
- Settlement details, if you enable card/mobile money payments. Your bank account or mobile money (till/paybill) number, sent to our server so we can set up your payment subaccount and route your customers' payments to you. We do not see or store your customers' card numbers or M-Pesa PINs - our payment processor handles that part directly (see below).
- Device and license information. Each device running NexaPOS generates a random device ID and an API key so it can sync securely and so your license key can be verified. A product image you add to an item stays stored locally on that device.
- Contact details, if you register on this website. Your name, email, business name, and phone number, if you fill in the "Get NexaPOS" form - so we know who downloaded the app and can reach you to arrange a license.
Information we do not collect
- No location tracking.
- No access to your contacts, camera, or microphone. Adding a product photo uses your photo gallery only - the app never opens the camera itself.
- No advertising identifiers, no ad networks, no third-party analytics or crash-tracking SDKs embedded in the app.
- No card numbers, mobile money PINs, or other payment credentials - those go straight to our payment processor, never through our servers.
Payment processing
When a customer pays by card or mobile money, that payment is processed by our payment processor, not by NexaPOS directly. Our payment processor has its own privacy policy governing how it handles payment data. We only receive back a confirmation and reference for the transaction, plus your own settlement (payout) details as described above.
How your data is stored and secured
Business data lives in a local database on your device, protected by your operating system's normal app data protections - it isn't itself additionally encrypted, so treat access to an unlocked device the way you'd treat access to a physical till. Device credentials, API keys, and your license key are stored separately, using your operating system's secure credential storage (Windows Credential Manager or Android's equivalent), not in plain text. Sync traffic between your devices and our servers travels over HTTPS. Server-side, your shop's synced data is stored on infrastructure we operate and is not shared with other shops or third parties.
Your choices
- You can remove a lost, stolen, or no-longer-used device from your shop at any time from Payment Settings, cutting off its access immediately.
- Deleting an item (a product, for example) removes it from your active inventory; historical sales that reference it are preserved so your past reports stay accurate, the same way a paper till roll isn't rewritten after the fact.
- Uninstalling the app removes everything stored locally on that device. Data already synced to your other devices, or to our servers as part of that sync, is unaffected.

Children's privacy
NexaPOS is a business tool and isn't directed at children. We don't knowingly collect information from children.
Changes to this policy
If this policy changes, we'll update the date at the top of this page. Continuing to use NexaPOS after a change means you accept the updated policy.
